How it works
- 1 Pick the pay period, one week or two, and add each person with their hourly rate.
- 2 Type each day the way you'd write it on the schedule: 9-5, 7:30am-4, 10pm-6 or a split shift like 11-2, 5-9, with the unpaid break in minutes. Paste a column from a spreadsheet and it fills a day a line.
- 3 See each person's hours, overtime after 44 a week and gross pay, with a ribbon of their shifts and the hours off between them, and anything Ontario's Employment Standards Act says to look at.
- 4 Print a timecard for each person to sign, or blank cards to fill in by hand, and copy the totals or a spreadsheet for payroll.

Good to know
- Is overtime counted over the pay period?
- No, by the work week. In Ontario overtime starts after 44 hours in a week, so someone who works 40 hours one week and 48 the next is owed 4 hours of overtime, even though the two weeks add up to 88. Averaging over two weeks or more takes a written agreement.
- What does it check?
- A 30-minute eating period so no one works more than 5 hours in a row, 11 hours off in a row each day, 8 hours between shifts, 24 hours off each week, days over 8 hours and weeks over 48, the three-hour rule for short shifts, the minimum wage, and public holidays in the period. Some need an agreement, some can't be changed by one.
- Does it work out deductions?
- No. It gives gross pay: regular hours, overtime at 1.5 times the rate and vacation pay if you add it to each pay. CPP, EI and income tax come off in your payroll. Public holiday pay is worked out separately.
- How long do I keep timecards?
- Ontario employers keep each person's hours for three years after the work was done. See the Government of Ontario's guide on record keeping.
- Do these rules cover everyone?
- No. Managers and supervisors, some trades, farm work and other jobs have different rules for hours and overtime, and other provinces have their own. This checks Ontario's general rules only (verify).
