Who has to follow the posting rules?
Since January 1, 2026, an Ontario employer with 25 or more employees on the day a job is publicly advertised has to include the pay or a pay range, say whether the job is open now, and say if AI helps screen applicants. A range can't be wider than $50,000 a year, and jobs paying over $200,000 are left out. Count everyone you employ, part-time and casual too (verify). A general "we're hiring" sign that doesn't name a job may not count as a posting (verify). See Ontario's rules for job postings.
After the ad comes down
The same rules ask you to tell everyone you interviewed whether they got the job, within 45 days of their last interview, and to keep a copy of each posting for three years after it comes down. The tool works out both dates, saves a reminder, and gives you a reply for every step.
Why “Canadian experience” gets flagged
At 25 or more employees, a posting can't ask for it. At any size, the Human Rights Commission treats it as a barrier that can shut out newcomers, so the tool suggests asking about similar work anywhere instead. It also flags words about age, looks, health and family that the Human Rights Code protects. See the Human Rights Commission on “Canadian experience”.
Trial shifts are paid
In Ontario, a trial shift is work, so it's paid at least minimum wage whether or not you hire the person. The general minimum wage is $17.95 an hour since October 1, 2026, and the tool flags pay set below it. See Ontario's minimum wage.
What isn't here
The main Ontario rules for a small shop, café, salon or trade posting a job. Federally regulated work, jobs outside Ontario, unionized workplaces and licensed trades can bring more, and the certificates suggested for each role are starting points to check. Read the official pages before you rely on it.
